How to send event reminders in HubSpot and cut no-shows

Updated October 2026

Most no-shows are not decisions. People forgot, or the day got busy. A couple of well-timed reminders to the people who said yes brings more of them through the door.

Send only to the right people

  1. Build a list of people with the Confirmed status for this event.
  2. Exclude anyone who has since declined or opted out of that kind of email.
  3. Use a subscription type that fits, such as event updates, rather than your general newsletter.

Make "can't come" easy

It sounds backwards, but a clear way to cancel increases attendance. Early cancellations free places for your waitlist, and people who feel no pressure are more likely to show up when they said they would.

Tell the truth in the subject line

"Tomorrow evening: details for the dinner" beats a clever line. People are searching their inbox for it.
