How to follow up after an event using HubSpot
The follow-up is where an event pays for itself, and it only works if you know exactly who came. That is why recording attendance on the night matters more than it seems.
Three groups, three messages
| Who | What to send | Within |
|---|---|---|
| Attended | A thank-you, one highlight and one clear next step | 24 hours |
| Confirmed, did not attend | "Sorry we missed you", a short recap and the next date | 48 hours |
| Waitlisted | A thank-you for their interest and first notice of the next event | 48 hours |
Prepare before the event ends
- Write the three emails the day before, so they are ready to go.
- Make sure the people on the door can mark attendance quickly.
- Build the three lists from the Attended, Confirmed and Waitlisted statuses straight after.
Tell your sales team
If an attendee is also an open deal, the account owner should know they came and what they said. When attendance is on the contact, that is one filter away. When it lives in a spreadsheet, it never reaches them.
Measure it
- Replies and meetings booked within two weeks.
- Attendees who became deals or moved a deal stage.
- Repeat attendance at the next event.
