How to track webinar attendance in HubSpot
Webinars generate two lists: people who signed up and people who actually watched. Your follow-up should be different for each, which means HubSpot needs to know which is which.
Connect your webinar tool
HubSpot connects to the common webinar and meeting tools. Once connected, registrations and attendance are usually recorded as marketing events, and each contact's record shows what they did. Check which fields your tool sends, as they differ.
What to record
- Registered, attended, did not attend.
- How long they stayed, if your tool provides it.
- Whether they watched the recording afterwards.
Follow up differently
| Group | Send | Within |
|---|---|---|
| Stayed to the end | Thanks, the slides, one relevant next step | A day |
| Left early | The recording and the part they may have missed | A day |
| Registered, did not attend | "Sorry we missed you", the recording | A day |
When the webinar is not a webinar
For in-person events, dinners and workshops there is no tool feeding HubSpot, so attendance has to be recorded by hand on the night. See how to check people in and how to set up an Events object.
